Tell us what the guest should see first and which details matter to you. A photo of the actual space is more useful than choosing a large arrangement that may not fit.
Match flowers and balloons to the venue
Explain whether the setup is for a room, entrance or table and share approximate dimensions or clear photos. Discuss flower types, colours, quantity and attachment points before confirming. Tell the team about candle or adhesive restrictions so the proposed arrangement can follow venue rules.
Printing and personal details

Agree timing and permissions before the surprise
Venue access time and guest arrival are not always the same. Explain when the team can enter, when styling must be complete and who will coordinate access. Obtain hotel decoration permission first. Sharing a reference image or tapping WhatsApp does not by itself confirm a reservation.
